Empty slots cost a clinic money and make other patients wait longer for an appointment. Seven simple steps that cut no-shows, from reminders to a waiting list.
A patient who books and does not turn up leaves a gap that nobody else can use. The doctor still waits, the clinic still pays its costs, and another patient who wanted that slot was told it was full. Reducing no-shows is one of the cheapest ways to earn more from the hours you already work.
Almost all of these are solved by reminding people and by making it easy to change the booking.
For a month, mark each appointment as attended, cancelled in advance, or no-show. Divide the no-shows by the total. You cannot improve what you have not counted, and the number may be smaller (or larger) than you think.
Repeat the day, date, time, doctor and clinic address at the end of the booking. Many no-shows start with a misunderstood time.
A short reminder a day before, and for early-morning slots the evening before, makes the biggest difference. It can be a phone call, an SMS or a message from the clinic's own number. KaiVox can send booking reminders by SMS for you.
"Hello [Name], this is a reminder of your appointment with Dr [Name] at [Clinic] tomorrow, [day] at [time]. Address: [address]. To change or cancel, call [number]."
Most people who cannot come would rather tell you, if it is easy. Put one phone number on the reminder and make sure it is always answered, including at night. This is where an AI receptionist helps: a patient can call at 10 pm, say they cannot come tomorrow, and move the booking without waiting for the clinic to open.
When a slot is cancelled, offer it to someone who wanted an earlier time. This turns a cancellation into a filled slot. A paper list or a shared sheet is enough: when someone cancels, call the first name on it.
For long or expensive procedures, a small advance payment reduces no-shows noticeably, because the patient has something at stake. It is not necessary for every consultation, and it can put some patients off, so use it where a missed slot really hurts.
If most no-shows are first-time patients, or Monday mornings, or one particular doctor's slots, you can act on that: confirm those bookings by phone, or schedule differently. Spend ten minutes a month on the numbers.
Some clinics deliberately book a few extra patients to cover no-shows. It can work, but it leaves patients waiting when everyone does turn up. Try the steps above first, and treat overbooking as a last resort.
An AI receptionist answers every call, books into your real calendar and lets patients reschedule at any hour. Hear it on the demo line, read about the healthcare pack, and see the plans.
